ABOUT THE ROLE
We are seeking a highly motivated and organized Entry-Level Administrative Professional to join our Operations team at PULSE (MENA). This role is ideal for someone beginning their administrative career who enjoys organizing information, supporting teams, solving day-to-day operational challenges, and ensuring smooth business operations in a fully remote environment.
WHAT YOU'LL DO
As an Entry-Level Administrative Professional, you will provide essential administrative and operational support to various departments across the organization. Your responsibilities will include:
- Providing day-to-day administrative assistance to managers and cross-functional teams
- Preparing, editing, formatting, and organizing business documents, reports, presentations, and spreadsheets
- Maintaining accurate digital filing systems and document repositories
- Organizing and archiving company records while ensuring confidentiality
- Monitoring shared inboxes and distributing requests to appropriate team members
- Assisting with data entry and record maintenance across multiple internal systems
- Coordinating internal workflows and administrative processes
- Assisting with tracking operational tasks and project milestones
- Helping prepare operational reports using company templates
- Monitoring task completion and following up on outstanding action items
- Supporting onboarding activities for new employees
- Assisting in maintaining standard operating procedures (SOPs) and internal documentation
- Scheduling meetings across multiple time zones
- Sending meeting invitations and reminders
- Preparing agendas and meeting materials
- Recording meeting notes and distributing action items
- Coordinating virtual events and internal team sessions
- Drafting professional emails and internal announcements
- Coordinating communication between departments
- Responding to routine inquiries professionally and promptly
- Supporting internal knowledge-sharing initiatives
- Maintaining digital office systems and shared resources
- Tracking administrative supplies and software subscriptions where applicable
- Assisting with vendor documentation and administrative records
- Supporting travel planning and expense documentation when required
- Ensuring administrative processes remain organized and efficient
- Updating internal databases and spreadsheets
- Compiling weekly and monthly administrative reports
- Performing quality checks on records for accuracy and completeness
- Generating routine reports for management
- Identifying opportunities to improve administrative workflows
- Recommending efficiencies in documentation and communication
- Participating in projects aimed at improving operational effectiveness
- Assisting in implementing new administrative tools and procedures
WHAT YOU'LL NEED
To be successful in this role, you will need:
- A high school diploma; an Associate's or Bachelor's degree in Business Administration, Management, Communications, or a related field is preferred
- 0-2 years of administrative, office support, customer service, internship, or similar experience
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills in English
- High attention to detail and accuracy
- Ability to manage priorities and meet deadlines
- Comfortable working independently in a remote environment
- Professional attitude with strong interpersonal skills
- Willingness to learn new systems and administrative processes
